Escape Systems · for escape room owners · in cooperation with Indestroom

The office work of your escape room, done for you.

Phone calls, guest emails, reviews, your Google profile and the shift plan. We set it all up for your venue and keep it running, so you and your team have time for the guests. Built and tested in our own three escape room venues in Germany.

Escape Systems is the product of Artur Hammerschmidt, owner of Escape Universe. Sales and contracts run through our partner Indestroom in Budapest.

Who does what

  • Escape Systems sets up the modules at your venue and keeps them running. Behind it: Artur Hammerschmidt and the systems that run Escape Universe every day.
  • Indestroom is our sales and contract partner in Budapest. Your offer and your contract come from Indestroom.
  • You keep your booking system, your payment provider, your phone number and every decision about your guests.

Our own operation, not client references

Running every day in our own three venues

Escape Leipzig, Escape Hannover and Escape Nienburg are our own venues. The figures below come from there. Each one carries its period, its case count and how we counted.

Phone, day and night

More than half of calls completed by the assistant alone

54 % of 136 conversations with a concern, 5 to 22 September 2026, all three venues. Calls where the assistant put the caller through or noted a call-back count as a hand-over, not as completed.

About 230 answered guest calls with a concern a month across the three venues (average March to August 2026). Around half of all calls come in outside Monday to Saturday, 11:00 to 16:00 (June to September 2026).

Live since March 2026. Hear it yourself: +49 341 21829494 (Escape Leipzig).

Guest emails drafted

Every guest email gets a draft

Twice a day the assistant reads new guest emails and writes a reply in the owner's voice, with the venue's prices, rules and cancellation terms. The drafts wait in the mailbox.

A person on the team reads them, corrects where needed and sends. Nothing goes out to a guest by itself.

Running at all three venues. The rule has no exception: a draft is never sent automatically.

Shift plan from the bookings

About 190 shifts a month planned automatically

Average June to September 2026, all three venues, counted as the shifts the planner wrote into the shift calendar. Every two hours it reads the bookings and who is available, and fills the plan.

Gaps and contradictions go to the team chat. What it can't fill cleanly, a person decides.

We don't state a time saving. We never measured how long planning by hand used to take.

Packages

Start with the front desk, add what you need

Every package is set up for your venue and run by us afterwards. Nothing comes from a template: knowledge base, rules and tone of voice are built from your questionnaires.

Front Desk

The daily contact with your guests

Phone assistant day and night, a draft for every guest email, replies to your Google reviews and care of your Google Business Profile. Setup, test and go-live included.

Not included: the shift plan, a new website, payments.

Core

Front Desk plus shift plan and team training

Everything in Front Desk, plus a shift plan written from your bookings and your staff's availability, and a training session so your team knows how to work with the assistants.

Needs a booking system with an open interface and a staff list with room skills.

Modules, priced by effort

  • Player pass: an anonymous loyalty pass for your guests. A badge per room, stamps for drinks, all through a QR code at the counter. No app, no login.
  • Social posts: posts and comment replies for Facebook and Instagram.
  • Finance checks: bookings against till and payouts, wherever your providers give us the data.

Website and Operator

Website: built new for your venue, never from a template. Fast, in your languages, ready for search engines. Hosting included.

Operator: till checks, receipts for your accountant and a business dashboard. Only as an individual offer, because every till and every accountant works differently.

Not offered at the moment: a website chat and a booking system. Neither is ready for other venues yet. We don't handle payments; they stay with your payment provider.

Before we start

What you bring, and how we get going

Five steps from the first call to live operation. Nothing goes live until you've accepted it.

  1. 1Demo callWe show the system and check whether your venue fits.
  2. 2QuestionnairesYou fill them in and give us the accesses.
  3. 3SetupWe build knowledge base, rules and tone of voice.
  4. 4TestTest calls, sample drafts, a trial run of the plan.
  5. 5AcceptanceYou sign off. Only then does it go live.

Live operation starts with your acceptance.

What your venue needs

  • A booking system with an open interface, for the availability check on the phone and for the shift plan. If you're not sure, we'll check it in the demo call.
  • A phone number we can route calls to. You don't need a special phone system: we bring the phone provider and help you choose.
  • A normal mailbox for guest emails, and one person who reads and sends the drafts every day.
  • A team chat (a free plan is enough), where call logs and alerts land.
  • Owner access to your Google Business Profile.
  • For Core: a shared calendar and a staff list with room skills.
  • The filled-in questionnaires: rooms, prices, rules, cancellation terms, your tone of voice.

Ongoing operation

What runs by itself, and what a person approves

Some steps run automatically, some always need a person. Here's each process as it really runs, so you know before you sign.

Who approves what

Guest emailsAlways a draft. A person on your team reads and sends. Never automatic.
ReviewsUncritical reviews (4 stars or more, no complaint) are answered automatically. Critical ones go to you as a proposal.
PhoneTalks to guests directly, within the knowledge and rules you approved. Anything beyond that: it puts the caller through or notes a call-back. Every call lands as a text log in your team chat.
Shift planWritten automatically from bookings and availability. Gaps and conflicts are flagged in the team chat, and a person decides.
MoneyNever moved. Payments stay with your payment provider.

What we keep running

  • Upkeep: when your prices, rooms or rules change, we update the knowledge base and the rules.
  • We watch the logs and fix what goes wrong.
  • Support Monday to Friday. Critical errors, such as a phone assistant that stops answering, also at weekends.
  • If you leave, you'll get your data as an export: knowledge base, rules and logs.

Pricing

Pricing: coming soon

We're finalising prices and terms with our partner Indestroom. Until then you'll get them on request or in the demo call.

Every package starts with a pilot

A paid pilot: 30 days of the phone assistant at your venue. If you continue, the pilot is credited in full against the setup.

Good to know

  • A one-off setup, then a monthly fee for operation and upkeep.
  • Tool subscriptions (AI provider, phone provider) are billed on top and passed on at cost, without a mark-up.
  • Further venues get a lower setup and monthly fee.

Questions

What owners ask us

Who is my contract partner?

Indestroom in Budapest, our sales and contract partner. Escape Systems, that is Artur Hammerschmidt and the systems of Escape Universe, sets up and runs the modules at your venue. You get one offer, not two competing ones.

Do I have to change my booking system?

No, as long as it has an open interface that lets us read bookings and availability. We'll check that in the demo call. We don't sell a booking system.

Which languages does it work in?

The phone assistant and the email drafts reply in the guest's language.

What if the phone assistant gets something wrong?

It speaks to guests directly. That's why we agree with you exactly what it may answer and when it puts a caller through or notes a call-back. Every call is logged as text. We read the logs and adjust knowledge and rules where something went wrong.

Do you handle payments?

No. Payments stay with your payment provider. None of the assistants moves money.

Are the figures on this page client results?

No. They come from our own three venues in Leipzig, Hannover and Nienburg. Each figure carries its period, its case count and how we counted. What the system does at your venue, the pilot will show.

What happens if I stop?

You'll get your data as an export: knowledge base, rules and logs. Your booking system, your phone number and your mailbox stay yours all along.

How do we start?

With a demo call. If it fits, a paid pilot follows: 30 days of the phone assistant at your venue, credited in full if you continue.

See it working before you decide.

In a demo call we show the system as it runs in our venues and check what your venue already has. Send us a short note about your venue and when you have time for a call.
